Outbound for engineering firms: short emails to accounts with a reason to buy

This isn't ten thousand names and a template. It is a list of firms you'd want as customers, watched for signs they're buying, and written to in under 80 words when one appears.

ISSUED FOR ENQUIRY

Signal-based outbound is cold email and LinkedIn outreach sent to a named list of accounts only when an account shows a public sign it may buy: hiring a sales engineer, exhibiting at a show, a new MD or sales director, a product launch, a grant. KS Media runs it for UK power and energy engineering firms as part of the Pipeline Engine, from a separate domain in the client's name, to limited companies only, with an opt-out on every email.

1EmailOpens on the signal. Says what usually follows it in your sector, and asks one question.
3LinkedInA connection request from the sender, with no pitch.
5EmailOffers something useful: for your clients, usually a technical piece or a short teardown of how the buyer's own suppliers appear.
10EmailThe offer, plainly, with one line of proof.
17EmailCloses the loop: not a priority, no problem.

Every email is under 80 words. Each one is written for the segment, and approved by you before anything is sent. Instantly's 2025 data found 58 percent of replies came from the first step, so the first email gets most of the effort.

Statement of practice · outbound

The rules we send by

  1. 1

A separate sending domain in your firm's name.

Your main domain never sends cold email.

  2. 2

SPF, DKIM and DMARC set on every sending domain, and two to three weeks of warm-up before the first send.

  3. 3

No more than about 30 emails per inbox per day.

  4. 4

    Every address verified first.

    Bounces kept under 2 percent.

  5. 5

    Limited companies only.

Sole traders and partnerships are filtered out.

  6. 6

Your firm's name, postal address and an opt-out on every email.

An opt-out goes on a suppression list for good. Privacy notice.

  7. 7

LinkedIn by hand, from a real person's profile, without automation tools.

Published benchmarks vary because they count different things: Smartlead divides replies by contacts, Instantly by emails sent, and both count every reply, including “no thanks”. So we don't quote a target from them. The Diagnostic's message test gives a first reading on your own segment, and the monthly report tracks it from there.

What happens to a reply

A positive reply goes to your named salesperson with the account's history attached: the signal, the emails, anything the contact said. Questions we can answer from your approved material, we answer. Anything else is drafted for you to send. Every reply, meeting and outcome is logged in your CRM or the shared tracker.

FAQ

Straight answers

Yes, to employees of limited companies, about their work, when the email identifies the sender, gives a postal address and offers a working opt-out. Sole traders and some partnerships need consent, so we filter them out. Our article on B2B cold email law has the detail.

Not your main domain, because it never sends. Outreach goes from a separate domain registered to your firm, authenticated and warmed for two to three weeks first, at no more than about 30 emails per inbox per day, to verified addresses only.

Kirish writes them from the Diagnostic's positioning work, in your firm's voice, and you approve every one before it goes. Nothing is free-written and sent without that approval.

It depends on the list and the number of sending inboxes. The plan sets the number in the Diagnostic, from the size of your target segment and how fast fresh signals appear in it, so the list isn't burned in a few months.

No. LinkedIn steps are sent by hand from a real person's profile. Automation tools risk the profile being restricted, and the messages read like automation anyway.

See your segment's signals before you commit.
