Privacy notice
What KS Media collects, why, who else handles it, how long it is kept, and how to have it corrected or deleted.
Who is responsible
KS Media is a trading name of Kirish Sanjeevvijay, a sole trader. He is the controller of the personal data this notice describes.
- Controller
- Kirish Sanjeevvijay, trading as KS Media
- Address
- 2 High Street, Feltwell, Thetford, Norfolk IP26 4AF
What the enquiry forms collect
Five pages carry the same enquiry form: the homepage, the free snapshot, industrial marketing, AI search visibility and the audit explainer. Each one collects:
- What you type. Your name, your work email, your company, and your message about what you make, build or fix.
- What the page adds. The page you sent it from, which form it was (for example "snapshot" or "audit"), and the three UTM campaign fields if the link you followed carried them.
- A honeypot. A hidden checkbox that people never see. Automated spam ticks it; a person leaves it empty.
We use these details to reply to you and, if you asked for it, to run the free snapshot for your firm. The lawful basis is legitimate interests: you asked a question and we answer it. Nothing you send is sold, shared for anyone else's marketing, or added to a mailing list.
Who else handles it
Four services process data on our behalf. Each acts on our instructions only.
- Web3Forms
- Delivers each form submission to our inbox by email.
- Google Workspace
- Hosts our email, so your enquiry and our replies are stored there.
- Calendly
- Handles booking a call. Its booking calendar appears on /book, /pipeline-diagnostic and /ai-visibility-audit, and loads only when you scroll to it. Once it loads, Calendly sets its own cookies, and what you enter when you book is collected by Calendly.
- Google Analytics 4
- Counts visits. It runs in Consent Mode with all storage denied, so no analytics cookies are set and no identifier is stored on your device.
Apart from Calendly's, this site sets no cookies.
If we wrote to you first
KS Media also writes to engineering firms that have not asked to hear from us. For that we use business contact details from public sources: company websites, Companies House, and Apollo, a business contact database.
We write only to people at limited companies, about work their role covers, on the basis of legitimate interests. Every email carries the sender's postal address and a way to opt out. If you opt out, your address goes on a suppression list so that you are not contacted again.
How long we keep it
- Enquiries and the emails around them: 24 months from our last contact with you, then deleted.
- The suppression list: kept indefinitely, because keeping it is the only way to be sure an opt-out is honoured.
Your rights
You can ask us to:
- give you a copy of the personal data we hold about you (access);
- correct it if it is wrong (rectification);
- delete it (erasure);
- stop using it, including for outbound email (objection);
- limit how we use it while a question about it is settled (restriction).
Email hello@ksmedia.marketing with your request. We reply within one month.
How to complain
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk.
